Workshops / Tours - Booking Terms & Conditions
Payment of a deposit for any photography workshop or tour confirms your agreement with the terms & conditions detailed below.
Reservation & Payment
The amount of the necessary deposit to secure your place varies per workshop / tour and is clearly indicated on our website within the header section of the workshop / tour description page and within the additional information section at the bottom of the workshop / tour description page, in conjunction with the required balance payment and associated payment date. Deposit payments are made via the ‘Store’ page on the website to which the workshop / tour description booking link directs you too.
Balance payments can be made by bank transfer or international money transfer and are due 10 weeks before the commencement date of the workshop / tour. This date will be provided within the ‘Additional Information’ section on the workshop description page.
No cheque payments are accepted.
On occasion, balance payments can be made via the website payment facilities, however, this will incur additional transaction charges and fees.
Our banking details for the payment of any balance via bank transfer will be clearly communicated following deposit payment and booking confirmation.
Following receipt of your booking deposit, your place on the chosen workshop/tour is reserved.
Deposit payments are non-refundable, unless we can fill your place on the workshop / tour, in the event of you cancelling your booking.
A final invoice for the balance payment will be sent 14 weeks prior to the commencement of your workshop / tour with payment due no later than 10 weeks before - unless agreed otherwise.
All workshop / tours are quoted in GBP Pounds Sterling and are inclusive of all taxes - payment to us must be made in British Pounds.
It may be necessary to raise the costs of a workshop / tour at any time before final payment is due, in the event that associated costs increase beyond our control, however these will be kept to a minimum.
Any increase in price shall not be sufficient grounds for any deposit refund paid for the tour, nor is it accepted as a reason to cancel the trip.
Workshop / tours are mostly offered based on a single occupancy, although sharing may be necessary if there is limited accommodation available in a certain location.
If you wish to attend with a spouse, partner, or a friend sharing of a room is available.
Insurance
All workshop/tour participants are required to take out cancellation insurance & travel insurance.
Travel Insurance covers medical expenses, financial default of travel suppliers, and other losses incurred whilst travelling, either within your own country or internationally. Temporary travel insurance can be arranged at any time before departuring on your trip, to cover exactly the duration of the trip, or a “multi-trip” policy can cover an unlimited number of trips within a set time period. It is recommended that you confirm the amount for which your insurance covers for damage to or theft of your camera equipment & if required, laptop. Where the amount is deemed inadequate, we recommend, the purchase of additional insurance to cover your valuable equipment.
Cancellation insurance covers the damage you suffer by circumstances beyond your control, resulting in you having to cancel your workshop/tour beforehand or having to leave before it has ended. Possible examples are sustaining a personal injury which prevents you from traveling or the death of a family member. The circumstances for cancelling a trip are never good. Having cancellation insurance avoids financial loss on top of the circumstances resulting in cancellation/early termination.
What’s included in your Workshop / Tour cost
Generally, Dave Nelson Photography includes all local transportation, accommodation and breakfast, as well as photography tuition and guidance.
Unless specified otherwise, the quoted costs do not include any international airfare, travel expenses to & from workshop location, airport taxes, drinks or any items of personal spending.
Prior to booking, please consult the workshop information page on our website for a full description of what is included / excluded for the workshop / tour as details may vary slightly for different workshops / tours.
Cancellation and refunds
We strongly believe that you will enjoy joining and participating in our workshops / tours , but should you need to cancel for any reason, the following terms apply:
Booking deposits are non-refundable except where we are able to fill your place, however a £150.00 cancellation fee will apply and this will be deducted from any balance payment refund made.
Where the full payment has been made at the time of booking, a refund minus the stated booking deposit will be made where cancellation is communicated more that 12 weeks prior to the commencement of the workshop / tour.
Refunds are not available where cancellation is informed less than 60 days prior to the workshop / tour commencement date, unless we can fill the vacancy, in which case you’ll be charged a £150 cancellation fee.
If you do need to cancel, we ask that you advise us know as soon as possible so we can alert people on the waiting list and try to fill your place on the workshop / tour.
In the rare event that we need to cancel this workshop because of lack of enrollment or an unforeseen event you will receive a complete refund or credit towards a future workshop.
We recommend that you avoid purchasing and making non-refundable travel arrangements, including airline tickets, and strongly advise that in these circumstances, a suitable level of trip cancellation insurance is arranged.
Cancellation administration fees are non-negotiable, unless you wish to transfer your paid deposit to another Dave Nelson Photography workshop / tour within the proceeding 12 months from the date of cancellation.
In the event that your booking was made whilst a discount was offered, you will be refunded the full amount paid, minus the costs of that discount.
Discounts may occasionally be offered in the event of short notice cancellations in order to ensure the workshop / tour continues to operate.
The most pressing reasons for not being able to travel are usually covered by cancellation travel insurance - for instance in the unfortunate event of you losing your job, a health related issue preventing you from travelling, or if something happens to one of your loved ones.
Should you need to cancel a workshop / tour, it is very likely your cancellation travel insurance will cover all payments made by you. We cannot stress enough how much financial inconvenience such insurance saves you.
In order to avoid any misunderstandings or discussion between Dave Nelson Photography and our clients about refunds, we urgently advise all of our guests to take out cancellation insurance. If you decide not to do this, you accept the consequences of cancelling, including the loss of monies paid, without putting pressure on Dave Nelson Photography as a company.
Liability
Your booking and participation in our workshop / tour serves as a release of our liability and a complete assumption of all risks.
If you should have any complaint about our workshops / tours, it must be made in writing within 14 days of the end of the workshop / tour. In the unlikely event of any sort of dispute arising, litigation shall follow the jurisdiction of Scottish law in the United Kingdom.
Health
Clients shall be in generally good health.
Any restrictions of a medical or dietary nature should be made known to us in advance of the commencement of your workshop / tour.
We will inform the relevant supplier of your requirements, but we cannot guarantee that all requirements will be met and have no liability to you if they are not met.
Vaccinations, visa requirements and all other travel or medically related arrangements are the responsibility of the client - we advise you to check the latest advice online or consult your health practitioner.
Cancellation by Dave Nelson Photography Limited or unforeseen events
Dave Nelson Photography shall not be held responsible for occurrences that are beyond its control, such as strikes, wars, acts of government, acts of terrorism or any other cause whatsoever, beyond its control, that may make operation of the tour impossible, illegal or inadvisable.
In the event that a tour is cancelled by Dave Nelson Photography, all workshop payments received will be promptly refunded, and this refund will be the limit of Dave Nelson Photography’s liability.
Dave Nelson Photography is not responsible for any expenses incurred by clients in preparing for the workshop / tour, including non-refundable or penalty carrying airline tickets, special clothing, visa or passport fees, or other workshop / tour related expenses.
Replacement of Workshop Leaders due to unforeseen events
Dave Nelson Photography reserves the right to replace workshop leaders on a workshop / tour, in case of unforeseen events, such as serious illness of the workshop leader or one of their loved ones.
Dave Nelson Photography will do its utmost to replace a workshop leader by someone with the same set of skills, but cannot guarantee this.
Replacement of a workshop leader is under no circumstances sufficient grounds for a refund on payments already made for a workshop / tour, nor is it accepted as a reason for you to cancel the respective workshop / tour..
Third Parties
During our travels, we use the services from various suppliers. Dave Nelson Photography is not an owner of these companies nor do we operate them or are they our employees.
This means that Dave Nelson Photography cannot be held responsible for any negligent or wilful act or failure to act of any supplier or of any third party.
This includes guides and drivers employed by the suppliers.
By utilising the travel services of the suppliers, you agree that you will look to such suppliers for any accident, injury, property damage, or personal loss to you or to those travelling with you, and that Dave Nelson Photography shall not be liable.
Flexibility
We travel in small workshop / tour groups, which gives us the advantage to change the respective itinerary if a photographic opportunity arises or if local conditions force us to do so.
Dave Nelson Photography reserves the right to make changes to itineraries, prior to departure or on location.
Participants will be notified of any changes as soon as possible.
No refund will be made for any unused services that are included in the workshop / tour price.
In the unlikely event that the leader(s) of a Dave Nelson Photography workshop has to cancel due to ill health or for any other reason, we reserve the right to provide a substitute tour leader for the trip. This is no reason to cancel your booking.
Participants should also be flexible when it comes to inconveniences caused by local conditions like roads, weather conditions etc.
Dave Nelson Photography shall not be held responsible for the weather conditions encountered or shooting in poor weather conditions that are beyond our control.
Minimum Group Size
Dave Nelson Photography reserves the right to cancel a tour up to 10 weeks prior to the commencement date, if the minimum group size is not reached.
Another possibility is that we may need to increase the price of the trip, based on a smaller group size. In this event, the increase will be communicated to all confirmed participants and kept to a minimum.
An increase in price shall not be sufficient grounds for any refund already paid for the workshop / tour, nor is it accepted as a reason to cancel the trip.
In the unlikely event that Dave Nelson Photography cancel a workshop / tour, all monies paid will be refunded.
Dave Nelson Photography is not responsible for any expenses incurred by participants in preparing for the tour, including non-refundable or penalty-carrying airline tickets, special clothing, visa or passport fees, or other tour-related expenses. We recommend to waiting to buy tickets, etc. until the minimum participation amount for the workshop / tour you have booked is confirmed by us.
Other Restrictions
We do not permit smoking at any time within the workshop vehicles, accommodation or the proximity of any of the non-smoking workshop / tour participants.
We reserve the right to ask you to leave the workshop without any refund for any disruptive or unacceptable behaviour, including but not limited to the following reasons:
Insulting behaviour towards workshop / tour leaders, other participants or any people we have contact with suchas accommodation providers.
Any unlawful acts against local culture and/or authorities.

We reserve the right to limit the quantities of any products or services that we offer.

In the event that we make a change to or cancel an order, we may attempt to notify you by contacting the e-mail and/or billing address/phone number provided at the time the order was made.
We reserve the right to limit or prohibit orders that, in our sole judgment, appear to be placed by dealers, resellers or distributors.
You agree to provide current, complete and accurate purchase and account information for all purchases made at our store.
You agree to promptly update your account and other information, including your email address and credit card numbers and expiration dates, so that we can complete your transactions and contact you as needed.

If in our sole judgment you fail, or we suspect that you have failed, to comply with any term or provision of these Terms of Service, we also may terminate this agreement at any time without notice and you will remain liable for all amounts due up to and including the date of termination; and/or accordingly may deny you access to our Services (or any part thereof).

The failure of us to exercise or enforce any right or provision of these Terms of Service shall not constitute a waiver of such right or provision.
